Office Administrator


 

Job Summary

Perform duties too varied and diverse to be classified in any specific office clerical occupation, requiring knowledge of office systems and procedures. Clerical duties may be assigned in accordance with the office procedures of individual establishments and may include a combination of answering telephones, typing or word processing, office machine operation, and filing.


Education and Experience

High School Diploma - or the equivalent (for example, GED)


Primary Job Duties

  • Communicate with employees and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.
  • Screen telephones, direct calls, and take messages.
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities.
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, personal computers and kitchen appliances.
  • Compute, record, and proofread data and other information, such as records or reports.
  • Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.
  • Open, sort, and route incoming mail, packages, and prepare outgoing mail and federal express.
  • Review files, records, and other documents to obtain information to respond to requests.
  • Deliver messages and any incoming packages.
  • Inventory and order materials, supplies, and services.
  • Complete work schedules, manage calendars, and arrange appointments.
  • Type, format, proofread, and edit correspondence and other documents, by using a computer.
  • Maintain front desk area and all common areas (e.g., lobby, conference rooms, kitchens) in a clean and tidy manner at all times.
  • Welcome visitors/clients in a warm and friendly manner, and answer any questions visitors/clients have, be the face of the office.
  • Maintain parking and building access.
  • Scheduling and arranging conferences rooms, meetings set-up/clean-up, including printing, assembling, and distributing materials for meetings.
  • Orders, Monitors, organizes, and maintains office and kitchen supplies and inventory (Instacart, Amazon and Staples and other vendors)

Skills and Qualifications

  • Proficient with PC, MS Office Suite 365 – HEAVY Outlook use
  • Able to perform, take direction, and prioritize a variety of administrative, clerical tasks and housekeeping tasks.
  • Excellent written & communication skills
  • Proven ability to work collaboratively with a team.
  • Able to lift 25lbs.
  • Ability to occasionally bend, kneel, squat, and twist.
